What to Expect When Hiring a Video Team for Your Next Big Event
A Behind-the-Scenes Look at Our Recent Work with Living and Learning at Biola University
Planning a major event takes a lot. Between booking speakers, managing the schedule, and making sure your guests have a meaningful experience, video often becomes one more thing on your plate.
At Wyld Story, we step in with clarity, creativity, and calm. If you’re wondering what it actually looks like to hire a video team for your next big event, here’s a real-world example based on our recent work with Living and Learning at Biola University.
1. We Come Prepared So You Don’t Have to Babysit
Living and Learning brought us in to film their multi-day study christian abroad conference. They needed a team that could handle the details without constant oversight.
We were given a general schedule, access to the event spaces, and the green light to roam freely. We arrived with a trusted gear setup, backup systems, and a plan flexible enough to follow the action while staying sharp.
From speakers to reactions in the crowd, we captured what mattered without interrupting the flow of the event.
2. We Capture the Why, Not Just the What
A camera can show a podium. But we want to show purpose.
For this event, that meant filming powerful keynote moments, capturing the energy in the crowd, and pulling aside a few leaders for authentic, short interviews.
These interviews and atmosphere shots helped Living and Learning not only share what happened, but also communicate why it mattered.
3. We Edit Fast Without Sacrificing Story
Video is only valuable if you can use it while the moment still matters.
For Living and Learning, we are delivering a full suite of assets within a short amount of time. That includes:
• A short promo video for next year’s conference
• A handful of high resolution photos
• A full recap video capturing the heart of the event and featuring several testimonials
Our editing process is streamlined so clients can share their content quickly without compromising on quality.
4. We Make You Look Good and Feel Heard
We treat every client like a partner, not a project.
That means clear communication, listening closely, and delivering something that genuinely helps you shine. Our approach is personal and collaborative.
Living and Learning didn’t have to micromanage us. They felt supported and excited throughout the process, and their final videos reflected that same energy.
5. We’re More Than Just a Crew
When you hire Wyld Story, you’re not just getting someone to show up with a camera. You’re getting a creative team that knows how to move with the moment, spot meaningful visuals, and tell stories that stick.
We care about your mission. We think ahead. And we’re always looking for ways to add value.
6. We’re flexible and willing to pivot on a dime
The event didn’t actually play out exactly how it was planned. Many people we were planning on doing video testimonials with weren’t able to attend last minute and so we had to think of a creative way of still using our time effectively. We ended up stepping outside and filming with some Living and Learning staff for some upcoming projects!
We were also willing to travel a little bit for this event. It wasn’t far since this event took place in La Mirada and we’re based out of San Clemente, but hey sometimes that LA traffic can be a little scary haha. We were able to stay relatively light weight with our gear so hauling equipment across campus could be kept minimal, and were able to compact everything into one car.
